What is Caregiver Documents 2.0?
Caregiver Documents 2.0 is a significant overhaul of the Documents page within the Licensing module, enhancing its functionality and design. This transformation signifies a fundamental re-engineering of how Binti manages and stores application requirements.
If you've been a longtime Binti customer, you may recall the transition to Supporting Documents 2.0. Caregiver Documents 2.0 mirrors this upgrade, allowing us to implement valuable changes today, while also laying the groundwork for exciting new features in the future.
How will the Documents page change?
Caregiver Documents 2.0 introduces improved functionality and visual updates to the documents page. Benefits include the following:

- Transfer application tracks (contact CSM to enable)
- Update templates to latest version
- Customizable waive options
- Regenerate completed form link

Agency Forms
| Current functionality | Agency forms are completed on a separate Agency Forms page. |

Agency workers can now complete agency forms directly on a combined Documents page. This eliminates the need to navigate multiple pages and makes documentation easier to find and manage.
Transfer Application Templates*
| Current functionality | If an application was started on the incorrect template and needs to be moved to a new template track, the caregiver must be re-added and assigned to the correct template by Customer Support. |
| New functionality | If an application was started on the incorrect template and needs to be moved to a new template track, the caregiver can be moved to the correct template by an agency worker. |
Multiple templates offer the flexibility to customize the licensing process for various applicant types such as community families and kinship families. When an agency utilizes multiple templates, agency workers can now transfer caregivers to a different application template in a single click. If the new template utilizes the same forms, such as a standardized application, any information previously entered by caregivers is automatically transferred, eliminating the need for redundant data entry. Any completed forms that are not required in the new template are preserved in the "Other/Miscellaneous Documents" section located at the bottom of the Documents page. Please note that data in any incomplete form will not move over.

Update Requirements for Existing Caregivers

If your agency needs to update forms, supporting documents, instructional text or any other aspects of your template, our Technical Account Management (TAM) now offers the option to apply these changes to all existing caregivers. This creates a uniform licensing process across caregivers and ensures your agency remains in compliance by enabling rapid distribution of updated licensing requirements.
Waive Requirements for Caregivers
| Current functionality | If enabled, certain application forms and supporting documents can be marked Not Applicable. No additional information collected. |
| New functionality | If enabled, certain application forms and supporting documents can be Waived. Additional information collected includes: reason for waive, date of waive, and optional details. |
Building upon the current ability to mark a document as "Not Applicable," the new "Waive" feature allows agency workers to specify why a requirement is unnecessary for approval. This provides a robust tracking mechanism for supervisors and is useful during audits. Reason categories are customized per requirement and may include: not applicable, tracked externally to Binti, fulfilled through other means, or exception granted. An open-text box provides space for providing additional details and the date a waiver is granted is stored.
Regenerate completed form link
| Current functionality | The only way to regenerate a completed form was to reset the signature of a form |
| New functionality | This new feature adds a link to regenerate the signed form without resetting the signatures |
The Regenerate completed form link on the documents page will regenerate a previously completed form if a form has been completed online for that requirement. Caseworkers have the ability to regenerate a completed form by clicking that link if a form is deleted and can also regenerate a form without resetting the signature.
- When a caseworker clicks the Regenerate completed Form link, a completed signed PDF is generated.
- When a caseworker clicks Regenerate completed Form link any current pdfs/docs attached to the requirement get moved to Older documents
- When a caseworker clicks Reset Signatures there is no longer any option to Regenerate completed form
Additional Requirements
| Current functionality | Previously, if an agency had an optional form/document that not all applicants needed to fill out. They had to make it available for every applicant, then manually mark the form as complete or waive it for families that don't need to complete it. |
| New functionality | With the introduction of Additional Requirements, agency staff can now assign documents and forms to just the applicants that need to fill them out. |
This feature helps agencies stay flexible and responsive to unique needs. Whether it’s meeting state regulations, accommodating special living situations, or addressing agency-specific policies, staff can ensure all necessary documentation is collected without overcomplicating the standard process. Related Requirements
| Current functionality | Previously, when a requirement's configuration was changed (e.g., a fillable form was replaced with a supporting document upload, an updated form version is available), any previously completed versions would move to the Other/Miscellaneous section. Workers then had the option to manually locate and re-upload documents to fulfill the new requirement. |
| New functionality | With the introduction of Related Requirements, Binti can now link updated or equivalent requirements so that they recognize and fulfill each other automatically. |
When requirements are marked as related:
- A previously completed version will automatically fulfill the new requirement
- Workers will see a fulfillment message such as: "Fulfilled by [Previous Requirement Name] (Date)"
- Workers will also be able to reset the form and have families complete the most recent version if necessary.
Forms for two applicant homes
| Current functionality | Forms that both applicants needed to fill out are broken into sub forms on the documents page. To view both applicants' forms you needed to open two separate documents. |
| New functionality | Both applicants' entries are combined into one completed document. Once submitted, workers will see a single linked PDF that includes responses from both Applicant A and Applicant B, making it easier to view and manage the full submission in one place. |
