How do I archive or unarchive a service contract?

This article is for referring agency staff who manage services and service contracts in Binti. It explains how to archive a service contract you no longer want to use, how to unarchive (restore) it, and what archiving changes.

What does archiving a service contract do?

Archiving marks a service contract as Archived without deleting it. When a service contract is archived:

  • It no longer appears in the Service Contracts field when you create or edit a service referral.
  • It can’t be edited until you unarchive it.
  • Service referrals and service records that already use it keep it. Binti shows “(Archived)” next to the contract name on the service referral details page and in the service records table.

How do I archive a service contract?

  1. Navigate to Children & Youth on the top blue navigation bar.
  2. Select Providers & Services in the dropdown.
  3. On the Providers and Services dashboard, click the three-dot menu located under Actions and choose “Service Details.” This opens the Service Details page.
  4. In the Service Contracts table, click the three-dot menu next to the service contract and choose “Archive.”
  5. In the “Archive Service Contract” box, click “Archive Service Contract” to confirm. Click “Cancel” if you don’t want to archive it.

The contract now shows “Archived” in the Archived column of the Service Contracts table.

How do I unarchive (restore) a service contract?

  1. Navigate to Children & Youth on the top blue navigation bar.
  2. Select Providers & Services in the dropdown.
  3. On the Providers and Services dashboard, click the three-dot menu located under Actions and choose “Service Details.”
  4. In the Service Contracts table, find the contract that shows “Archived.” Click the three-dot menu next to it and choose “Unarchive.”

The contract is unarchived right away, with no confirmation step. The “Archived” label goes away, “Edit” and “Archive” return to the menu, and you can choose the contract again when you create or edit a service referral.

Please note: While a service contract is archived, “Unarchive” is the only option in its menu. To edit the contract, unarchive it first.

Why don’t I see Archive or Unarchive?

You need permission to create, edit, or delete agency service contracts to see these options. If you can see a service contract but not “Archive” or “Unarchive,” your role may not have that permission. Ask an admin at your agency to update your permissions.

You’ll see only one of the two options for each contract. An active contract shows “Archive,” and an archived contract shows “Unarchive.”

What’s the difference between archiving and deleting a service contract?

You can delete a service contract only if no service referral uses it, and deleting can’t be undone. If a contract has already been used, archive it instead. Archiving keeps the contract on its existing service referrals and service records, stops it from being chosen on new service referrals, and can be undone with “Unarchive.”

Can I archive a service?

Binti doesn’t have an option to archive a service itself. A service that has been used on a service referral or service record also can’t be deleted. To stop a service’s contracts from being used on new service referrals, archive each of its service contracts.
