Overview
Agency workers have a lot of administrative tasks such as filling out forms and writing case notes that take a lot of time and distract from more valuable tasks such as working directly with the caregivers. With Binti's AI transcription feature, workers can save time by filling out paperwork quickly with the help of Binti AI.
Workers can either record directly in Binti or upload an existing recording.
How It Works
- Case Notes: Workers can record a case note directly in Binti using their voice or upload a recording to transcribe into a case note. The filled case note can be reviewed for accuracy before accepting the content and saving the case note.
- Filling Out Forms: Workers can record a conversation or voice memo or upload a recording to populate form answers automatically from the transcription. The filled form content can be reviewed for accuracy before accepting the content.
- Completing Both Tasks: Workers can also pick both (case note and forms) and Binti Blue AI will complete both tasks above.
Note: If you will be in an area with a poor signal or find it easier to record quickly on your mobile device, you can upload a previously recorded conversation or voice memo from your desktop or mobile device instead of recording directly in Binti.
Record a Transcription in Binti

Log into Binti (family.binti.com) and enter your email and password or log in via SSO.

Click on the firework icon in the header to access Binti AI Transcription.
Note: You must be enabled for the pilot program for this to appear.
After clicking on the firework, you should now see the Binti AI Transcription page.

Search for a caregiver.
Note: Only primary caregivers can be found at this time.

Select I'd like to start a new recording, then click "Next".

When you are ready, press the “Record Audio” button to start recording.

Place the phone in front of you or in between the people speaking in the room

Begin speaking or begin your conversation

Once you are done, press the red “Finish Recording” button.
Note: You can pause the recording at any time and then restart when ready (press “Pause Recording” then “continue recording” to continue)

Once done, the recording you made will show below the recording section.
You can play it back and decide if it’s the one you want to keep. If you’d prefer to re-record, just push the “Re-do Recording” button. You’ll get a notice warning that the recording will be overridden which you should accept, then the recording will start.

Once you’re happy with the recording, press “Next” to go to the next step
Upload a Voice Memo or Recording in Binti

Log into Binti (family.binti.com) and enter your email and password or log in via SSO.

Click on the firework icon in the header to access Binti AI Transcription.

After clicking on the firework, you should now see the Binti AI Transcription page

Search for a caregiver.
Note: Only primary caregivers can be found at this time. - Select I already recorded my conversation or dictation, then click "Next".

Select or drag & drop the file you would like to upload.
Turn a Recording or Uploaded File into a Case Note or Form Answer
On the final step of the transcription process you can tell Binti what to do with the recording.

Select one or both of the following options:
a. Create a case note using the exact transcription
This will create a case note in Binti for you to review.
b. Have AI fill form answers from the recording
Binti AI will take information from the conversation/recording and figure out which form has questions that relate to the transcription (e.g. if the recording was of a home visit, it would try fill out the home study form). The output of this will be available for review once completed. -
After making your selection, you will land on the Binti AI Transcriptions page which shows all your AI Transcriptions (both case notes and forms).
Your current transcription will likely be processing. For shorter recordings like case notes this can take a few seconds. For longer recordings like a meeting/home visit this can take longer (25 minutes takes ~5 minutes to process).
You can refresh the page to see progress (the pie chart indicator will continue to fill).
- Once the transcription is ready, under "Review Links" click the link to the form or case note.
Tip: If you want to view the raw transcription or see the recording file used, clicked “Transcription Details” in the Actions column.
Reviewing the Case Notes
- Under "Review Links", click the link for the case note. You will be taken to the case note's review page.
- If needed, change the case note type, date, and contact method or edit the case note if anything was incorrectly transcribed or more detail is needed.

Click “Update Case Note” to save the case note.
Note: This will mark this transcription as “Reviewed”, moving it to the “Reviewed” tab on the transcription dashboard.
Reviewing the Form Answers
Important Note: We ask you to review each answer to ensure no content is added by the AI that is not reviewed by a human.
- Look for the firework symbol. This indicates Binti AI found a potential match from the transcription and has provided a response in the form.
- Click on a section with fireworks to review the form answers.
- Edit the text or check “I confirm this answer was transcribed correctly” below the text box.
Frequently Asked Questions
In the past, recordings could be lost if submitted without service. Now, Binti automatically saves your transcription as soon as it’s complete, ensuring it can safely upload once your connection is restored.
You’ll receive a confirmation when the upload begins and another when it’s successfully submitted.
