Bulk Relative Notification Letters

Overview

The Bulk Relative Notification Letters feature streamlines outreach to multiple child or youth connections by automating letter generation. It uses customizable templates with dynamic merge fields, and automatically logs each letter in the contact log. This tool helps meet FFPSA requirements, which mandate written notifications to relatives for children in care.

 

How to Print Letters

Follow these steps to generate and review notification letters.

  1. On the Relationships Dashboard for a child or youth, select the people you would like to generate a letter for by checking the boxes next to their names.
  2. Near the top right, click on "Bulk Actions" and select "Print Notification Letters".
  3. Review and confirm recipients in the list shown. To adjust the recipients, click "Change Recipients".
  4. Choose a contact status ("Attempted" or "Successful").
  5. Draft your letter content in the editor provided. Use the Merge Fields menu to insert information from the system, like names or addresses, into the letter.
  6. Click "Preview Letters" and review the letter for accuracy.
  7. When ready, click "Generate Letters" to finalize and create the letters.
  8. You’ll be redirected to the Contact Logs page, where you can view the generated letters by clicking on the "Notification Letter" link next to each contact.

In order to ensure the best experience with letter printing, refer to these helpful tips.

Disable Pop-up Blockers

Your browser may automatically block pop-ups, which could prevent the generated letters from opening. Follow these instructions to disable pop-ups specifically for the Binti website.

Microsoft Edge
  1. Open Microsoft Edge and navigate to the website where you want to disable pop-ups.
  2. Click on the lock icon in the address bar (left of the website URL).
  3. In the menu that appears, select Permissions for this site.
  4. Scroll down to find Pop-ups and redirects.
  5. Set the toggle to Allow for that specific website to disable the pop-up blocker.
  6. Refresh the page if necessary to apply the changes.
Google Chrome
  1. Open Google Chrome and navigate to the website where you want to disable pop-ups.
  2. Click on the lock icon in the address bar (left of the website URL).
  3. In the menu, select Site settings.
  4. In the Site settings menu, scroll down to Pop-ups and redirects.
  5. Set it to Allow to disable the pop-up blocker for that specific site.
  6. Refresh the page if necessary to apply the changes.

Remove Headers and Footers

Your browser may add unwanted headers and footers to the generated letters. You can adjust your settings from the print window to prevent this.

Microsoft Edge
  1. Open the page you want to print in Edge.
  2. Press Ctrl + P (or go to Settings and more (three dots) Print).
  3. In the print settings dialog, scroll to More settings.
  4. Under Headers and footers, uncheck the box to disable them.
  5. Review your print preview to ensure headers and footers are removed.
  6. Click Print to finalize.
Google Chrome
  1. Open the page you want to print in Chrome.
  2. Press Ctrl + P (or go to Menu (three dots) Print).
  3. In the print dialog, select More settings.
  4. Scroll down to find Headers and footers and uncheck the box to remove them.
  5. Check the preview to ensure the headers and footers are gone.
  6. Click Print to proceed.
